Office Manager - NYC

    Keyrus is looking for a detail-oriented and self-motivated Office Manager to join our NYC team! The Keyrus Office Manager oversees office operations and also serves as an executive assistant to the management team. Our management team will rely on the Office Manager for critical daily tasks including managing complex and frequently changing calendars, coordinating management level meetings, coordinating travel accommodations, and ensuring all office operations are running smoothly. The ideal candidate must be a resourceful team player and possess a strong sense of urgency, organizational, and communication skills.

    Office Manager Responsibilities:

    • Oversee and manage the daily operations of the NY office and maintenance of the facility
    • Coordinate and plan office events (office lunches, happy hours, birthdays, company/team socials)
    • Act as the greeter and receptionist, answering and routing calls to appropriate team members
    • Manage relationships and negotiations with vendors (IT, building, cleaning, catering, etc.)
    • Maintain employee timesheets
    • Coordinating meetings and presentations, ensure conference rooms are booked and properly equipped with necessary items
    • Supervise work of contractors for office improvements/repairs
    • Order office supplies as necessary to ensure employees and new hires are able to successfully complete their job 
    • Ensure kitchens are properly stocked with food, drinks, and snacks
    • Manage company bank accounts, check deposits, credit card payments, etc.
    • Track, process, and manage expenses and find opportunities to optimize

    Executive Assistant Responsibilities:

    • Proactively manage the Management Team’s constantly changing calendars with a strong attention to detail  
    • Anticipate and resolve any potential scheduling conflicts with a strong sense of urgency
    • Handle highly sensitive and confidential materials with the utmost discretion
    • Schedule and prepare agendas for meetings
    • Create and maintain daily schedules, travel itineraries, and expenses
    • Support management team in ad hoc projects and special projects that require independent discretion and follow up


    • At least 3 years of administrative experience, preferably supporting senior managers and overseeing office operations
    • Strong computer proficiency and knowledge working with Microsoft Office
    • Excellent written and oral communication skills
    • Proactive nature with strong problem solving skills 
    • Ability to work independently and prioritize projects in order to meet deadlines with minimal supervision
    • College degree or equivalent is preferred
